Project and Transition Support
You don’t just need advice. You need someone experienced inside the business with you.
Someone who can understand what matters, keep track of the moving parts and follow things through without needing every next step spelled out.
Business Operations Support gives established solo and small business owners practical, people-focused support through an ongoing partnership or for a defined project, busy period, transition or time away.
The business is working. It just relies on you too heavily.
You may already have a team, contractors, clients or a community.
You may even have administrative support.
But you are still the person remembering what comes next, checking whether it happened, answering the questions, joining the dots and catching the things that would otherwise be missed.
Or perhaps the usual setup works most of the time – but you have a holiday, project, event, period of leave or business transition coming, and somebody capable needs to hold the fort.
You are not looking for another person to add to a task manager.
You need somebody who can see the wider picture, communicate with the humans involved and take genuine ownership of an agreed area of work.
That is the difference between having help and feeling supported.
Choose the kind of operational support your business needs.
“I need an ongoing operational partner.”
Ongoing Operations Support
For an established business that needs consistent operational coordination, follow-through and an experienced thinking partner behind the scenes.
This may include:
-
executive support and operational coordination
-
inbox, calendar and communication oversight
-
team, contractor, supplier and stakeholder coordination
-
customer, client or member experience
-
project, event and travel coordination
-
keeping priorities, commitments and follow-up visible
-
improving the practical way information and responsibilities move through the business
-
noticing gaps before they become somebody’s Friday afternoon emergency
This is not an agency model and I do not hold a large roster of ongoing clients.
I take on one ongoing operations partnership at a time so I can understand the business properly, build useful working relationships and provide the level of attention the role requires.
“I need somebody capable for a particular season.”
Project & Transition Support
Experienced operational support for a defined window.
This is the business babysitter option: somebody you trust to understand what matters, watch the moving parts and keep agreed responsibilities moving while your attention needs to be elsewhere.
People commonly use this support for:
-
annual leave or a proper holiday
-
parental leave or a team member’s absence
-
school holidays or changing family responsibilities
-
health treatment, recovery or reduced capacity
-
a conference, event or launch period
-
business relocation
-
a major internal project
-
a particularly demanding operational season
-
temporary cover while deciding what longer-term support is required
The reason changes. The model stays the same: a clearly defined period, agreed responsibilities and an experienced person who already understands the business before the support window begins.
Practical support for the work that keeps a business connected and moving.
Every engagement is scoped around what the business genuinely needs. Depending on the situation, I may take responsibility for:
Executive and operational coordination
-
managing agreed inboxes and calendars
-
coordinating meetings, travel and events
-
tracking decisions, deadlines and follow-up
-
liaising with contractors, suppliers and stakeholders
-
maintaining visibility across current priorities
Customer and member experience
-
monitoring customer, client or member enquiries
-
making sure people receive a useful human response
-
coordinating onboarding, communication and follow-up
-
keeping communities or memberships active and informed
-
escalating issues to the right person when needed
Team and project coordination
-
acting as an agreed point of contact
-
coordinating responsibilities and handovers
-
keeping project actions moving
-
identifying gaps, delays or unclear ownership
-
providing progress updates without filling your inbox with noise
Business continuity
-
preparing the business before a period of leave
-
monitoring the agreed operational areas while you are away
-
distinguishing genuinely urgent matters from things that can wait
-
recording decisions and activity for a useful return handover
-
reducing the pile of avoidable chaos waiting for you when you come back
The scope is not built from a generic menu. It is agreed around the outcome, the level of responsibility and the people involved.
Good cover doesn’t start the morning you switch on your out-of-office message.
Most temporary support begins with a frantic handover and a folder full of documents nobody has had time to read.
Mine begins earlier.
Before I take responsibility inside the business, I need to understand:
-
how the business actually works – not only how the procedure says it works
-
who the key people are
-
what each person owns
-
what “urgent” means in this business
-
which decisions I can make
-
what must be escalated and to whom
-
how customers, members, clients and the team should be communicated with
-
what a successful support period looks like
New clients begin with a Business Support Strategy Session. From there, we scope the engagement and build the preparation period needed for me to step in responsibly.
If we have worked together recently and my understanding of the business is still current, we will use what is already in place rather than repeating work for the sake of process.
I love how Amber thinks for me … I can simply tell her the outcome I’m looking for, and she figures out the rest .. with ease, without drama and with finesse.
Investment and availability
Support is scoped around responsibility – not a random bundle of hours.
The investment depends on:
-
whether the support is ongoing or for a defined window
-
the operational areas being held
-
the volume and pace of communication
-
the number of people, customers or members involved
-
the decisions I am authorised to make
-
the preparation required
-
the risk and responsibility attached to the work
Ongoing Operations Support
Available to one ongoing client at a time and offered by application and tailored proposal.
Project & Transition Support
Available for agreed support windows, subject to capacity and preparation time.
Typical project investment: from $800 AUD per week.
New clients also complete a $247 Support Strategy Session before the engagement is scoped. If we have worked together recently and the required business knowledge is current, that component may not need to be repeated.
There are no surprise hourly invoices or open-ended task lists. The proposal sets out the agreed outcome, responsibilities, working arrangement and investment before the work begins.
This is by application only — I cap project work to keep support high-touch and ensure you’re not competing for bandwidth.
How we get from “I need help” to useful operational support
1. Understand
We begin with a Support Strategy Session or review our existing knowledge of the business. We identify the pressure, the people involved and the outcome support needs to create.
2. Scope
We agree on responsibilities, decision-making authority, communication, availability, exclusions, timing and what success looks like.
3. Prepare
I learn the relevant people, processes and tools. We close obvious information gaps, establish escalation rules and make sure the business is ready for the handover.
4. Support
I take ownership of the agreed operational areas for the ongoing partnership or defined support window.
5. Review or hand back
Ongoing partnerships include regular review as the business changes. Project and transition work ends with a clear handover, including what happened, what remains open and anything I believe needs attention next.
WHY AMBER
I’m not interested in making myself indispensable.
I’m Amber Field, a Business Support Strategist with more than twenty years of experience across executive support, operations, customer and member experience, recruitment, administration, retail leadership and community building.
I can step into complicated situations, understand what matters, build relationships with the people involved and keep work moving without adding unnecessary noise.
But good operations support should not create another hidden dependency.
As I work, I notice where information lives only in somebody’s head, where responsibilities are unclear and where the business would struggle if one person became unavailable. Where it sits within scope, I help make the work easier to understand and hand over.
The goal is not for your business to rely on me instead of relying on you.
The goal is a business with clearer support around it.
WHO THIS IS FOR
We’ll probably work well together if:
-
you run an established solo or small business with real operational activity to coordinate
-
you have clients, customers, members, contractors or a team who cannot simply be ignored while you are away
-
you need judgement and follow-through – not only task completion
-
you are willing to provide the information and decision-making authority the role requires
-
you value clear expectations, professional boundaries and honest communication
-
you care about how people experience your business
-
you want to prepare properly rather than hand over a login the night before your flight
-
you understand that experienced operational support is an investment in business continuity and capacity
WHO THIS ISN’T FOR
This probably isn’t the right fit if:
-
you are looking for entry-level administration at the lowest available rate
-
you want someone to be permanently on call
-
you need a social media, marketing or content assistant
-
you want to hand over responsibility without sharing context or authority
-
you expect somebody else to absorb unclear boundaries or continual scope changes
-
you want a technical consultant to rebuild your systems
-
your business is still so early that there is not yet a clear operational need or budget
-
you want to skip preparation and begin immediately
I can move quickly once I understand the business. Skipping that understanding is not speed; it is unnecessary risk.
frequently asked questions
Can I book you only to monitor my inbox while I’m away?
Potentially, but inbox cover is never only logging in and checking messages. We still need to agree on priorities, tone, escalation, authority and what happens when an email requires action elsewhere in the business. Small scopes are considered against the preparation and responsibility involved.
How far ahead should I enquire?
As early as practical. Project and leave cover require time to understand the business, agree on the scope and prepare a responsible handover. Last-minute support may not be possible, particularly around school holidays or existing client commitments.
Do all new clients need a Strategy Session?
Yes, before I accept operational responsibility inside a business I have not worked with. If we have worked together recently and the relevant knowledge is still current, we can review what has changed rather than automatically repeating the full process.
Can project support become ongoing?
It can be discussed, but it is not automatic. Ongoing Operations Support is limited to one client at a time and must fit my capacity, the business and the working relationship.
Will you work inside our existing systems?
Usually, yes. I work with the relevant tools already used by the business where they are suitable for the engagement. This service does not include rebuilding the technology stack or implementing complex automation.
Are you available after hours or on weekends?
No. Working hours, response expectations and escalation arrangements are agreed before the engagement. If the business genuinely requires round-the-clock coverage, it needs a different staffing model.
Can you manage our social media while we’re away?
No. Social media management and content creation are outside this service. I may coordinate with your existing marketing provider where that is part of the agreed operational scope.
What happens at the end of a project support window?
You receive a clear handover of what happened, what remains open, decisions made and anything that needs your attention. Where useful, I will also identify support or continuity gaps worth addressing before the next busy period or absence.
Your business should be able to keep moving when your attention needs to be somewhere else.
Whether you need one experienced operational partner beside you or a trusted person to hold the fort for a defined season, we’ll begin by understanding the business and agreeing on what useful support needs to achieve.
Tell me what is coming up, what needs to be held and when you need the support.
